Quick answer: Claude is worth it for a small business when someone on the team spends several hours a week writing, reading documents or working through email. Start with one person, one recurring task and one Project that holds your business context, then connect Gmail, Google Calendar and Google Drive. Move to the Team plan when a second person needs the same Projects, because Project sharing is only on Team and Enterprise, and Anthropic does not train on Team content by default.
Claude is the AI assistant made by Anthropic. If you are still choosing between assistants, start with ChatGPT vs Claude vs Gemini. This guide is for a business that has decided to try Claude.
I have trained 200+ people to use AI at work, and I hold Anthropic's AI Fluency Certification, Model Context Protocol: Advanced, and AI Agent Skills credentials. I am also an OpenAI Select Partner, which you should know when you read a guide about Claude. I set up whichever assistant a company already uses. I checked every plan and feature detail below against Anthropic's own pages on October 10, 2026. Anthropic changes them often.
What is Claude good at for a small business?
These are the jobs I would hand Claude first:
- Drafting replies, proposals and follow-ups from your notes, in your tone, once it has seen a few emails you wrote.
- Reading long material you would otherwise skim, such as a contract or a supplier's terms. You upload it and ask what it says about payment terms or deadlines.
- Turning meeting notes into an action list, or a rambling customer email into the two questions you need to answer.
- Looking things up. Every plan can search the web, so it can check a regulation or a supplier for you.
- Working across your inbox, calendar and files once you connect them, so you can ask what is waiting on you this week.
It is a poor fit wherever a wrong answer would reach a customer with nobody reading it first.
Which Claude plan does a small business need?
Anthropic's pricing page lists three plans for individuals and two for businesses. For most small businesses the choice is Pro for one person, then Team once two or more people share work. The model training column uses Anthropic's own wording. Current prices and usage limits are on the Claude pricing page.
| Plan | What a small team gets | Model training |
|---|---|---|
| Free | Chat, web search, memory, connectors, Skills and up to five Projects | Opt-out |
| Pro | More usage, scheduled tasks, Research, Claude for Microsoft 365 and Outlook | Opt-out |
| Max | Everything in Pro, with 5x or 20x the usage of Pro | Opt-out |
| Team | For 2 to 150 people. Shared Projects, central billing, single sign-on, admin control of connectors, skills deployed to everyone | None by default |
| Enterprise | Everything in Team, plus audit logs, role-based access, custom data retention and a HIPAA-ready offering | None by default |
Start one person on Pro. Free is enough to test whether Claude suits the way you write. When a second person needs the same Projects, move to Team. Project sharing is not on any individual plan, so two people on separate Pro accounts keep two copies of the same business context, and the copies drift apart. Team lets you mix standard and premium seats, so only your heaviest user needs the bigger one. Max suits one person who runs out of Pro usage every week.
Does Claude use your business data to train its models?
It depends on the plan, so check this before anyone pastes in a customer's details.
On Team and Enterprise, the pricing page says there is no model training on your content by default. Anthropic's privacy center puts it this way: "By default, we will not use your inputs or outputs from our commercial products" to train its models. The exception is feedback. If someone presses the thumbs up or down on a response, Anthropic stores that whole conversation for up to five years and may use it. An owner on Team or Enterprise can switch the rating buttons off for everyone with the Rate chats setting.
On Free, Pro and Max, whether your chats are used to improve Claude is a setting, and the pricing page lists it as opt-out. It is called Model Improvement, in your privacy settings. Incognito chats are not used to improve Claude even when that setting is on. Anthropic also says it does not train its models on Gmail, Drive or Calendar connector data.
How do you connect Claude to Gmail, Google Calendar and Google Drive?
The Google Workspace connectors are available to every Claude user on the web and in the desktop app, Free plan included. To switch them on, open a chat, click the + button, hover over Connectors and turn on Gmail, Google Calendar or Google Drive. Sign in with your Google account when Claude asks. On Team and Enterprise, an owner has to enable the connectors for the organization first. Each person then signs in with their own Google account.
Once connected, Claude can search and read your email, draft replies, and send them if you approve. It can read your calendar, find a time that suits everyone, and create, change or delete events. In Drive it can search for files and read Docs, Sheets, Slides and PDFs. It can only open what your Google account can already open.
By default, Claude asks for your approval before it sends, replies to or forwards an email, and before it shares, moves or trashes a file in Drive. Leave that on, even though Team and Enterprise owners can let members skip it. Claude sees the details of a Gmail attachment but cannot read the attachment itself, so save the file to Drive if you want it read.
If your business runs on Microsoft 365 instead, the pricing page lists Claude for Microsoft 365 and Claude for Microsoft Outlook on Pro and above, not on Free. For trades businesses on Housecall Pro, my Housecall Pro assistant lets Claude work your account from the Claude desktop app on any Housecall Pro plan, and every change waits for your yes. The steps are in how to connect Claude to Housecall Pro.
What should a small business set up first in Claude?
Give it two weeks and do it in this order.
- Pick one person and one recurring task. Good first tasks are replies to the questions customers ask most, or a Monday list of emails still waiting on an answer. Write down how long the task takes today.
- Check the Model Improvement setting if you are on Free, Pro or Max.
- Create a Project for the business. A Project is a workspace with its own instructions and files. Upload a one-page description of what you sell and who buys it, your answers to the ten questions customers ask most, and three or four emails you wrote that sound like you. In the project instructions, say who Claude is writing as and what it must never do, such as promise a delivery date.
- Connect Gmail, Google Calendar and Google Drive, or Microsoft 365 on a paid plan.
- Once the task works, turn it into a Skill. Skills are folders of instructions that Claude loads when a task calls for them. Anyone can write one in Markdown, and Skills need code execution turned on. The free Claude Starter Kit has pre-built skills and prompt templates you can copy and adapt.
- Schedule it. On any paid plan you can ask Claude to run a task hourly, daily, weekly or on weekdays. Scheduled tasks keep running when your computer is asleep or the desktop app is closed, unless the task needs files or apps on your computer, in which case it only runs there.
- After two weeks, compare the time the task takes now with your note from step one. If it saves time, add a second person and a second task. If not, find out why before you buy more seats.
For the CEO of a 50 to 500 person company, I install the same pattern as an AI chief of staff, connected to email, calendar, meeting recorder, CRM and documents. If you are weighing outside help, my guide to what an AI consultant for a small business does explains what to expect.
When is Claude not worth it for a small business yet?
Wait if one of these describes you:
- Nobody spends much of the day at a desk. A four-person crew whose owner answers email at night has bigger wins elsewhere.
- The work is not written down. If every proposal looks different and nobody can find the current price list, Claude will produce faster versions of the same mess. Write the process down first.
- Your real problem is slow replies to new leads. That needs a system that answers new inquiries on its own, which is a different project from a Claude subscription.
- You want it to act with nobody checking. A person should still read anything that reaches a customer, especially prices and dates.
- You handle patient records. The pricing page lists a HIPAA-ready offering on Enterprise only, so keep health information out of Claude until whoever advises you on compliance has looked at it.
- Your team already uses ChatGPT well. Switching costs weeks of relearning, and two subscriptions for the same work is waste.
Fix what can be fixed, then come back to Claude in a few months.
Claude or ChatGPT: which should a small business use?
Both handle everything in this guide, and the better choice is the one your team will open every day. Claude tends to suit teams that work in long documents and careful writing, and ChatGPT has the bigger ecosystem. I compared them, with Gemini, in ChatGPT vs Claude vs Gemini, and the free which AI tool should I use quiz suggests one from five questions about how you work. If your team already uses one of them well, stay with it.

Frequently asked questions
Is Claude free for small businesses?
There is a Free plan with chat, web search, connectors, Skills and up to five Projects. Paid plans add more usage and scheduled tasks, and shared Projects need the Team plan. Current prices are on Anthropic's pricing page.
What is the difference between Claude Pro and Claude Team?
Pro is for one person. Team is for 2 to 150 people and adds shared Projects, central billing, single sign-on and admin control of connectors, and Anthropic says there is no model training on Team content by default.
Can Claude read and send my email?
Yes, through the Gmail connector, on every plan. By default Claude asks for your approval before it sends, replies to or forwards anything. It can see attachment details in Gmail but not their contents.
Does Claude train on my business data?
On Team and Enterprise, not by default, apart from conversations someone rates with the thumbs up or down button. On Free, Pro and Max it is the Model Improvement setting in your privacy settings, so check it. Anthropic says it does not train on Gmail, Drive or Calendar connector data.
Do I need a consultant to set up Claude?
No. One person can follow the steps in this guide. Outside help pays off when several people need the same setup, or when Claude has to connect to other systems and run on a schedule.
