How this works
The math is plain. Missed calls equal your calls times the share you miss. Lost callers equal missed calls times the share who never call back. Lost jobs equal lost callers times your close rate. Revenue equals lost jobs times your average job value.
Web form and text leads work the same way, minus one step: a lead not answered within an hour counts as lost directly, then your close rate applies, using the same close rate you entered above.
Every number on this page is your own estimate, not an industry figure. Weekly numbers convert to monthly at 52 weeks divided by 12 months, and to yearly at 52 weeks.
Frequently asked questions
How do I find my missed-call rate?
Check your phone or VoIP system's call log for a normal week and count how many inbound calls show as missed rather than answered, then divide missed calls by total inbound calls. If your system does not show this, tallying missed calls by hand for a week works just as well.
What counts as a lost lead in this calculator?
A caller you missed who never called back on their own, and who this calculator assumes would have become a paying job at your own close rate. It is not a claim about any specific caller, it is your own estimate multiplied out.
Does texting a caller back after a missed call actually help?
It puts the caller back in a conversation with you, in seconds, before they dial the next business. That will not win back every caller, but a reply while the call is still fresh gives you a chance you do not have while it is sitting in voicemail.
What should happen after hours?
A different message than during the day: one that tells the caller when you will get back to them and gives them a link to book a time right now, instead of leaving them with nothing until morning.
What about calls from a landline?
A landline cannot receive a text, so texting it back can look like it worked in your logs while the caller gets nothing at all. The safer pattern is to check the line type and flag landline callers for a human callback instead.
